How do I manage user permissions in Briefcase?

User permissions can be found through the Organisation Settings on the top right. From here, you can select granular permissions for other Admins, Users, and Clients.

Admins can:

  • Modify permissions for existing admins and users

  • Invite new users and modify their permissions

Users can:

  • Invite new users and modify their permissions

User permissions scope

  • Transaction

    • View all: Can view all transactions

    • View own only: Can only view their own transactions

    • Publish: Can publish transactions

    • Delete: Can delete transactions

  • Document

    • Upload: Can upload new documents

  • Expense claims

    • View all: Can view all expense claims

    • View own only: Can only view their own expense claims

    • Create: Can create new expense claims

    • Publish: Can publish expense claims to ledger

    • Delete: Can delete expense claims

  • Prepayments

    • View all: Can view all prepayments

    • View own only: Can only view their own prepayments

    • Create: Can create new prepayments

    • Publish: Can publish prepayments

    • Delete: Can delete prepayments

  • Bank Statements

    • View all: Can view all bank statements

    • View own only: Can only view their own bank statements

    • Delete: Can delete bank statements

  • Business settings

    • Update: Can update business settings

Managing entity access

  • Locate the user or client whose access you wish to change

  • Click the Manage Access button

  • Toggle the different entity you want them to have access to

Common user configurations

Adding client employees for expense claims only

  • Invite employees as a Client user type

  • When selecting their permissions, disallow access to all components apart from Expense Claims

Adding clients for upload only

  • Invite clients as a Client user type

  • When selecting their permissions, only allow:

    • Transactions - view all

    • Documents - upload

    • Expense claims - view all + create

Adding clients to read only

  • Invite clients as Client user type

  • Select the pre-configuration "Read Own Only"
